Job Description: The Director of Business Administration will play a pivotal role in the smooth operation of our engineering firm. This position is responsible for overseeing and managing the financial, human resources, and office administration functions. The successful candidate will be a strategic thinker, detail-oriented, and possess strong leadership and communication skills.
Job Responsibilities: 1. Financial Management:
Develop and manage the annual budget in collaboration with department heads.
Oversee financial planning, accounting, and reporting processes.
Monitor and optimize cash flow and financial performance.
Ensure compliance with tax regulations and financial laws.
Supervise the finance team and liaise with external fractional Chief Financial Officer.
2. Human Resources:
Manage the full HR lifecycle, including recruitment, onboarding, performance evaluation, and offboarding.
Develop and implement HR policies and procedures in compliance with labor laws.
Foster a positive and inclusive work culture.
Resolve employee relations issues and oversee training and development programs.
Manage payroll and benefits administration.
Supervise the HR team and liaise with external experts, as necessary.
3. Office Management and Administration:
Ensure the efficient day-to-day operation of the office.
Oversee office supplies, equipment, and vendor relationships.
Manage facilities and space planning to support company growth.
Develop and implement administrative policies and procedures.
Coordinate office security, safety, and emergency procedures.
Ensure company registration compliance in 34 states.
Supervise the administration team and liaise with external Registered Agent and compliance company.
Supervise and ensure company’s compliance with state and federal agencies (Sam.gov, HUB (Historically Underutilized Business), SBA (Small Business Administration), Department of Veterans Affairs).
4. Strategic Planning:
Collaborate with the executive team to develop and execute the company’s strategic goals.
Provide insights and recommendations to improve operational efficiency.
Identify opportunities for cost savings and revenue generation.
Applicant Requirements: Proven experience in a leadership role, managing teams, and overseeing diverse functions.
Strong understanding of financial and accounting principles.
Familiarity with tax regulations, auditing procedures, and financial compliance.
In-depth knowledge of HR best practices and employment laws.
Excellent communication and interpersonal skills.
Highly organized and detail oriented.
Proficiency in relevant software tools (e.g., accounting software, Microsoft Office).
Education, Certification, and Experience:
Bachelor’s degree in Business Administration, Finance, Human Resources, or a related field (Master’s degree preferred).
A minimum of 10 years of experience in financial management, human resources, and office administration.
